Based at our Vancouver Corporate Office, the Senior Administrative Assistant is responsible for performing various administrative functions to support the Finance Department, Purchasing Department, Marketing Department, and other management team members across the organization. As the primary back-up support for the Executive Assistant to the Finance Department, the Senior Administrative Assistant will work collaboratively with all stakeholders in the organization to achieve desired business outcomes.
Executive Support – 50%
Tend to various administration requests from Directors and Managers to format spreadsheets, draft correspondence, complete mail outs, and other administrative tasks
Assist with the creation of the presentation and training materials
Support the Executive Assistant to the Finance Department in the maintenance of corporate records in accordance with corporate policies
Provide administrative support on corporate projects as required
Purchasing Support – 30%
Assist the Corporate Purchasing Manager with the preparation for the annual Major Expenditure Budget process and other annual meetings
Maintain corporate purchasing forms and templates in the document management system
Coordinate vendor office supply and other services
Office Administration – 15%
Distribution of incoming mail and provide back-up support to the Administrative Assistant
Provide lunch breaks and vacation coverage for the Receptionist
In the absence of the Executive Assistant, complete the daily mail run from the Vancouver Plant, banking runs, catering requests and respond to general office emails or faxes
Advertising, Sponsorships & Memberships – 5%
Serve as the primary contact for all advertising and sponsorship requests from external organizations
Maintain all records and files related to advertising, donations, sponsorships and memberships in the document management system
Support the Manager of Innovation & Strategic Initiatives regarding artwork and advertisement specifications, ensuring compliance with company branding policies
Perform other duties as assigned by Manager or Supervisor
The Ideal Candidate:
Minimum 2 to 4 years of experience in an administrative assistant role, or similar environment supporting senior managers in an administrative capacity required
Graduate from a recognized post-secondary program for Administrative Assistants, or equivalent Certificate or Diploma an asset
High attention to detail
Demonstrated ability to handle sensitive information with a high level of discretion
Advanced skills in Microsoft Office programs including Excel, Word, Outlook, PowerPoint and document management systems (SharePoint)
Outstanding verbal and written communication skills
